Privacy policy
This Privacy Policy explains how Senithu Software Solutions ("we", "us", "our"), the operator of the YalloTutor app and the website at yallotutor.com, collects, uses, shares, and protects your personal information. We are based at No: 295/A/1, Nedagamuwa, Kotugoda, Sri Lanka, 11390. By creating an account or using YalloTutor, you agree to the practices described here.
We take privacy seriously because YalloTutor uses artificial intelligence to process your voice and conversation data. This policy tells you exactly what we do with it, and what we do not.
1. Who we are
YalloTutor is a product of Senithu Software Solutions, a software company registered in Sri Lanka. For any privacy matter, you can contact us at yallotutor@senithu.lk. Senithu Software Solutions is the data controller responsible for your personal information.
2. Information we collect
We collect the following categories of information:
- Account information. When you sign up, we collect your sign-in identity — for example your name and email address from Google Sign-In, or the email address and password you register directly.
- Profile and learning preferences. The information you provide during setup, such as your native language, target language, learning goal, level, and daily practice time. If you choose to add a profile photo, the image is stored in your private storage area.
- Voice and conversation data. When you have a live conversation with your tutor, your microphone audio is streamed in real time to our AI provider (Google Gemini) to run the session. We do not record or store the raw audio of your conversations. A text transcript is processed to power live captions, to keep a short history of your conversations, and to build your personal learner memory. If you bookmark a phrase from a conversation, the text of that phrase is saved to your private account area.
- Learning activity. Lesson progress, streaks, saved phrases, conversation history, and your learner memory (words practiced and common mistakes), used to personalize your tutoring.
- Usage and device data. App version, device type, approximate region, live-minute consumption, and diagnostic and crash information, used to keep the service running and to prevent abuse.
- Purchase information. Subscriptions and any in-app purchases are processed by Google Play. We receive confirmation of your purchase, subscription status, and order identifiers so we can unlock your plan. We never receive or store your full payment card details — those are handled entirely by Google.
3. How we use your information
- To provide and personalize the tutoring service.
- To run live voice conversations and generate captions and lessons.
- To maintain your progress, history, and learner memory across devices.
- To process and verify your subscription and manage your plan and usage limits.
- To protect the service against fraud, abuse, and security threats.
- To respond to your support requests and communicate important service updates.
- To comply with legal obligations.
We do not use your conversations to train third-party AI models for general purposes; they are used to run your session and to personalize your own learning experience.
4. Legal bases for processing
Where data protection law (such as the GDPR) applies, we process your information on the basis of: performance of our contract with you (to provide the service you signed up for); our legitimate interests (to secure, improve, and support the service); your consent (for example, to use your microphone, which you can withdraw at any time); and compliance with legal obligations.
5. How your data is shared and processed
We do not sell your personal data. We share information only with service providers who help us operate YalloTutor, under appropriate data protection terms:
- Google (Gemini API). Processes your live audio and transcripts in real time to run conversations, under Google Cloud's data processing terms. The audio is used to generate the tutor's responses during your session and is not retained by us.
- Google Firebase. Hosts our authentication, database (Firestore), and file storage. Your account, profile, progress, saved phrases, and profile photo are stored here.
- Google Play. Processes all payments and manages your subscription. Google's own privacy policy governs the payment data it collects.
6. International data transfers
Our providers operate global infrastructure, so your information may be processed on servers located outside your country, including in the European Union and other regions. Where required, these transfers are covered by appropriate safeguards such as standard contractual clauses.
7. Data retention and deletion
We keep your account and learning data — including your profile, progress, saved phrases, and profile photo — for as long as your account is active. We do not record or retain the raw audio of your conversations beyond what is needed to run your live session in real time. You can delete individual saved phrases at any time. As a safeguard, if any audio file were ever written to your private storage, it is automatically deleted within 90 days — though in normal use no conversation audio is stored at all. You can delete your account and all associated data at any time from the app (Account → Delete account) or by emailing yallotutor@senithu.lk. Deletion is permanent and is completed within 30 days, except where we are legally required to retain certain records.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict, or object to the processing of your personal data, and to receive a copy of it in a portable format. To exercise any of these rights, contact us at yallotutor@senithu.lk. You also have the right to complain to your local data protection authority. You can withdraw microphone consent at any time in your device settings, though this will disable live voice conversations.
9. Security
We use industry-standard measures to protect your data, including encryption in transit, access controls, and app-integrity checks. No system is perfectly secure, but we work continuously to safeguard your information and will notify you and the relevant authorities of any breach as required by law.
10. Children
YalloTutor is intended for users aged 18 and over and is not directed at children. We do not knowingly collect personal data from children. If you believe a child has provided us with information, contact us and we will delete it.
11. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you in the app. Continued use of YalloTutor after an update means you accept the revised policy.
